Hi everyone 👋
I’m looking for recommendations for a tool/AI that takes notes and generates meeting summaries in:
  • Microsoft Teams
  • Google Meet
  • (If it supports Zoom or others, that works too)
Ideally, it should offer any of these modes:1) In real time: live transcription + key points, action items, and timestamps.2) Post‑meeting: upload the recording/audio and have it generate notes and summaries.

Requirements and nice‑to‑haves:
  • Multi language (good accuracy with accents).
  • Speaker identification, action items/decisions, and links to key moments.
  • Export to Google Docs/Notion/Email/....
  • Privacy: control over data storage and an easy option to delete data.
  • Price: as cheap as possible; free or open‑source preferred if available.
Specific questions for anyone recommending something:
  • What tool do you use and why?
  • Does it work well in both Teams and Meet?
  • Is there a free or very cheap plan? What are the limits (minutes/month, meeting duration, watermark, etc.)?
  • Its compatible with multi language? Does it recognize each participant well?
  • Any issues with enterprise permissions (IT/security)?
I’m also interested in open‑source/local alternatives (for example, using a local transcriber like Whisper and then a summarizer), in case anyone can share a guide or script.

Thanks in advance! If you can share examples of real notes (with sensitive data redacted) or quick comparisons, that would be greatly appreciated.

Here are current AI tools and open-source options for meeting notes and summaries across Microsoft Teams, Google Meet, Zoom, and more. Several support live transcription or post-meeting uploads, speaker identification, multi-language, and privacy controls.

Best All-in-One AI Tools

  • tl;dv (tldv.io): Works with Teams, Meet, and Zoom. Free plan with no time limits and unlimited transcriptions and summaries. Supports 30+ languages, offers live transcription, speaker identification, action items, and links to key moments. Exports to Google Docs, Notion, or Email. Strong privacy controls on deletion and sharing. No watermark on basic features. see tldv.io
  • Fellow: Reliable for real-time and after-meeting AI notes. Runs on Teams, Meet, and Zoom. Focuses on privacy and security of recordings/notes. Action items and key decisions generated automatically. Integrates with platforms like Notion and Google Docs. Limited in free tier; most features on paid plans. see fellow.ai
  • Read.ai: Multi-language supported (20+), works with Teams, Meet, Zoom. Recognizes speakers, generates action items/links, and exports summaries. Has a free tier; long meetings or extra features may require payment. see read
  • Google Meet and Microsoft Teams (built-in): Both have recent AI features but usually require paid business plans for advanced real-time transcription and summaries. These may not cover all "nice-to-haves" unless you are within the enterprise ecosystem. see mymeet

Open-Source/Local Alternatives

  • Meetily + Whisper: Open-source, privacy-first meeting assistant. Runs locally: no cloud data transfer. Uses Whisper AI for high-accuracy transcription, even with accents and multiple languages. Summarizes notes, IDs speakers, stores files locally, and is customizable or scriptable. Free; just install and run. Guide available for setup with scripts for Teams, Meet, Zoom, Jitsi, etc.. see github
  • Whisper by OpenAI: Standalone local model; works for both real-time (with scripting) and post-meeting (upload audio/video). Superior multi-language and accent recognition. Combine with LLM summarizers (like Ollama or GPT locally) for notes/action items. No cost except for hardware. Step-by-step guides/scripts available. see prompttoproducthub and youtube
  • Jitsi + Whisper.cpp: Open-source video platform paired with Whisper for live transcriptions; great privacy, free, highly customizable. Integrations available for other platforms with some setup. see jitsi

Real-World Experience

  • Users favor tl;dv for ease of use, accurate multi-language support, and generous free plan features. Meetily and Whisper setups are best and cheapest for privacy-focused and open-source fans, but require some technical setup. see dev
  • Common issues: Some enterprise setups may restrict 3rd-party bots/recorders (especially Teams/Meet) for security—check with IT. see mymeet
  • Privacy: Most open-source options (Meetily/Whisper/Jitsi) do not store anything in the cloud; commercial apps let you delete/export, but may have their own data retention policies. see github

Example Setup Guide (Open Source)

  • For a fully private, open-source transcription and summary:
    1. Record meeting audio (Teams, Meet, Zoom – use any local recorder).
    2. Run Whisper locally for transcription (step-by-step guides available). see youtube and whisperai
    3. Use a local LLM or summarization script (Ollama, GPT, etc.) to turn the transcript into notes/action items. see dev
    4. Export or copy results to Docs, Notion, Email.
Hope this helps you choose a tool! Examples and sample transcripts are easy to find by searching "Whisper AI meeting transcript sample" or checking user forums for each app.
